Did you know that UW Continuum College has a group dedicated solely to conferences and workshops?
Our Conference Management team works with event organizers to serve more than 4,500 conference attendees each year through every step of the process: planning and site selection, registration and financial management, and day-of logistics. From large academic conferences to short, intensive workshops, Conference Management has more than 50 years of experience managing and executing conference logistics so that our partners can concentrate on what they do best — high-impact programming.
Budgeting, Payment Processing, and Financial Management
The Conference Management team specializes in budgeting and financial management, which gives conference organizers the peace of mind that the logistics of their event will be executed seamlessly.
“One of the major advantages of working with Conference Management is that we open and manage a budget for each event and possess a deep working knowledge of the rules and requirements when it comes to important details like vendor bids, contracting, sponsor payments and speaker reimbursements,” said Paul Del Piero, interim director of Conference Management.
In addition, Conference Management can remove the headache of payment processing with its own in-house registration system — including fees paid by credit card.
Planning and Site Selection
Conference Management’s deep knowledge of both on- and off-campus events also provides another significant advantage to organizers looking for a change of venue.
“Of course, we help with a number of events on-campus. But our knowledge and experience extends throughout the region,” Del Piero said. “We’ve worked just about everywhere in the Pacific Northwest — from downtown Seattle to Yakima to Portland.”
This flexibility and experience allows Conference Management to partner with a wide range of groups —professional associations, academic departments, state and local government, and more.
Single Point of Contact and Stress-Free Billing
Each event is assigned a conference manager, who serves as the single point of contact for everything from venue contracts to catering to program design and printing. Conference Management prides itself in alleviating the stress of coordinating between dozens of vendors, contracts and details. And, coupled with the event budget, partners can enjoy the convenience of simplified billing, which consolidates all receipts into a single invoice.
More than just Conferences!
While much of the team’s time is spent planning and managing academic conferences and related events, Conference Management works with a variety of different programs that fall outside of the traditional “conference” category.
“Put simply, if you have a program or event that has a sizeable group of people converging in one place for a short period of time, we can take care of the logistics, so you can focus on what matters most: the content and programming for your attendees,” Del Piero said.
For each event, Conference Management customizes and tailors its services to meet partners’ specific needs — and is happy to help you find the right fit for your event, no matter what.
“If you have a program or event and could use some help but don’t know if Conference Management is right for you, just give us a call or send us an email,” said Del Piero. “If we aren’t the right fit, we’ll help you find the group that is.”
